Booking, payments and cancellation policy - BCP Council Short Breaks

How to book activities and what will happen next

You will receive the brochure by email. This will show you all the activities that are on offer for that holiday period.

Please choose the activities you would like to attend and make a request using the booking form. The link to the booking form will be at the end of the brochure where it says, ‘click here to book’.

When the short breaks team receive your booking form, and the booking deadline has passed, you will be contacted by email to let you know what spaces you have been given. This is called your allocation.

In the email there will be a link for your allocation response form. Your allocation activity list and the parent ID code will also be provided within this email. When you receive your allocation email, please check the information carefully and follow the link to either decline your allocation, ask for changes to your allocation, or to confirm that you would like to accept the place(s).

Payment details

To complete your booking, you will be asked to pay a 50% non-refundable deposit when you accept your allocation. You have 5 working days to accept your allocation and to pay the deposit for your allocation choices.

You must make the rest of your payment before the day of the activity, online, so that your child can attend. The payment link is provided to you after you have accepted your allocation.

If you ask for a change to your allocation, please wait to receive your new activities list and balance before re-entering the link and accepting the new allocation.

If you do not pay for your allocation, your booking will not be processed, and your child will not be able to attend.

Late allocations

The Short Breaks Team may offer late places if they are available, and this will be decided by the management. However, we encourage you to book in advance using the booking process to avoid disappointment.

If you are contacted by phone, or email about a late allocation, you will be expected to make online payment within 24 hours, to secure the offered additional place(s).

Out of area applications

Activity spaces may be offered to people living outside of Bournemouth, Christchurch and Poole at the discretion of Short Breaks management. If you live out of area and make an application, please be aware that priority will be given to families within the BCP Council postcode area.  

Cancellations

If you decide you don’t want to attend an activity, you will be able to get a refund up to and including 10 days before the activity. After this point, refunds will only be given for special circumstances, and this will be decided by Short Breaks management.

Change of circumstances
